1. Our Communication Channels

We use different tools depending on the type of information being shared.

  • The Newsletter: Your "must-read" for general news, dates, and messages.

  • Arbor (Email & In-App): For class-specific updates, permission forms, and urgent alerts (e.g., club cancellations).

  • Google Classroom: For viewing your child’s learning and receiving 'Guardian' summaries.

  • Tapestry (EYFS Only): A secure portal to view and celebrate your child's Early Years milestones.

2. How to Reach Us

To ensure your query is handled by the right person at the right time, please use the following hierarchy:

Step Contact Level Best For...
1 Class Teacher Learning, friendship issues, or classroom concerns.
2 Head of School Unresolved classroom issues or curriculum queries.
3 Executive Headteacher Serious concerns or strategic school matters.

Important: All electronic communication must go through the school office. To protect staff wellbeing and ensure a professional audit trail, please do not email teachers directly.

3. Reporting Absence & Urgent Matters

  • Absence: You must telephone or email the school office at the earliest opportunity.

  • Urgent Concerns: Please telephone the office. Do not use email or Arbor In-App messaging for urgent matters as these are not monitored 24/7.

4. Our Commitment to You

We treat emails with the same professional standard as formal letters. We aim to respond within the following timeframes during working hours (08:00 – 17:00):

  • Email Acknowledgment: Within 2 working days.

  • Full Email Response: Within 5 working days.

  • Admin Queries: Usually replied to within 24 hours.

  • Telephone Calls: Returned within 24 hours if the query couldn't be resolved immediately.

5. Face-to-Face Meetings

To ensure our staff can focus on teaching and safety during the school day, we do not hold "zero-notice" meetings. If you need to speak with a member of staff:

  1. Contact the school office.

  2. Request a meeting with the relevant staff member.

  3. The office will arrange a mutually convenient time.
